SamCare is a web based solution based on PHP (http://www.php.net) and MySQL (http://www.mysql.com). It is designed to record incidents related to both clients/residents and staff and then provide an analysis of incidents over a selected range of dates. The system will run on both Windows and Linux Servers and can be access from either Microsoft Internet Explorer or Mozilla Firefox.
Incidents are recorded as Episodes so that all related reports are kept together in the system whether related to clients/residents, staff or both. Incidents created as a result of the initial record can all be kept within the same Episode.

- Injuries
- Infections
- Motor Vehicle
- Medication
- General
- Complaints
- Hazards
- Feedback
- Bed Vacancies
- Community Meals Service
An organization with multiple sites can be setup with staff allocated to more than one site. Each site can have a person nominated as the person responsible for Complaints, Hazards, Feedback and General Incidents. Automated emails are forwarded to that person as part of the follow up processes.
Incidents are stored in the system with a status of New, Pending, In Process and Closed and also have a reminder date for follow up. Both status and reminder date are colour coded for easy identification.
The program uses a drill down design to enable easy location of incidents. Incidents can be located using the sections for specific incidents and incidents related to specific clients/residents or employees can be located by displaying the individuals file. Closed incidents are separated from active incidents to keep a simpler visual display and either can be accessed through buttons on the screen.
An interface is included to import clients/residents direct from the TriMicro Resident Billing program.
Security is an important aspect of the program and all users require a user name and password. Passwords can be changed as required or the password can be generated automatically by the system and details emailed to the user. Access to the program can be set to 5 separate levels:
- User
- Program Manager
- OHS Coordinator
- Limited Administrator
- Administrator
SamCare System Requirements
The SamCare system will run on a Windows or Linux Server capable of running MySQL Version 4.x or 5.x, PHP Version 4.x or 5.x and either Microsoft IIS or Apache Web Server. The resource requirement should be appropriate for the required number of users.
A typical BASE scenario could be a Pentium 4 Machine with 1GB of RAM and an 80GB Hard Disk with either Windows 2003 Server or Fedora Core 5 or 6 installed as the operating system, however a lesser machine would suffice.
Samurai Hosting Package
As an alternative we can provide a hosted version of SamCare for you at $330 inc GST per annum, therefore you would not require a server, however you would need internet access from your workplace(s).
Backing Up Data
We recommend that you have the appropriate backup systems in place to backup the SQL data. We suggest using the available tools in MySQL to perform the required backup. As an example we have a 2 hourly SQL hot backup performed on our servers at Samurai.
Security
As the system is Web Based with the use of username and password access, security for External users of your system is best managed by the use of Firewalls. SamCare has an Access Control List that can be configured; however we recommend that a good firewall system is the best solution. You may also consider the use of VPN, SSH tunnel or Certificate based security for remote users.
Privacy of Information
SamCare limits access to Client and Employee data by controlling the access to information using a username and password method. Administrators of the system can elect to allow access to certain information using the Users Security Settings in the System control panel. Information can be accessed on a “need to know” basis. For example, the nominated OH&S person would see different details in the system than those of a person who was a Staff user. Another example would be that Staff at Site “A” could not see information relating to Residents at Site “B” and visa versa.
